PSIcapture User Guide: Capture/Import

 

Overview

 

The article covers the entire User Interface, Navigation, and Functionality of the Capture/Import Module within PSIcapture. A valid PSIcapture Capture Profile is required to begin importing documents and processing them through a configured workflow.

Understanding Capture/Import

 

The Capture module performs the core work of physically and logically connecting PC based scan stations to the scanner and/or file systems. The connection is used to capture images and convert them to electronic format. Device profiles are used to define specific setup options for different scanner devices (such as simplex/duplex, double feed detection, etc...) and file system capture methods (such as import, auto-import). Barcodes and Patch codes are read by the Capture module to distinguish between the end of one document and the beginning of another.

In addition, barcode values may also be configured to automatically populate index fields. The Capture module may perform image cleanup. Cleanup may include removing black hole punch marks, de-skewing or rotating the image, removing extraneous specks that may appear on the image(called de-speckle within the program), cropping, and more. The Capture module produces a grouping of enhanced TIFF images for use in the next step of the Capture workflow.

Select Capture Profile

To begin the capture process, click on the Capture/Import icon in the Navigator Pane. The user can specify when the Select Capture Profile window opens up by making a selection from the dropdown menu at the bottom left of the window. The default setting is to open this window when the Capture module is started.

If there is a large amount of Capture Profiles to choose from the user can search by name, description, created, or modified to find a specific profile.

Show Capture Profile Selection Dialog When Options

  • Selected from File menu - The dialog box will only come up when the user chooses Select Capture Profile from the ribbon menu.
  • Opening Capture Module (default) - This option will automatically open the dialog box when the Capture Module is started.
  • Creating a New Batch - The dialog box will open when the user creates a new batch or starts Capture on a new batch.

Toggle Grouping

The various Capture Profiles can be designated as members of different groups, similar to groups of contacts in a phonebook. Specification of groups can be made in Capture Profile - General configuration settings.

Capture Ribbon Menu

The ribbon menu includes: File, Home, Settings, Security, Utilities, Window, and Help.

  Create Batch – Opens the Create Batch dialog box. Initially, users must select a capture profile which will define the overall processing options. Then, users can define specific options for that batch, including general configuration options, such as Name, Priority, Holding, and Overrides. Users can also make notes on the Batch Note tab, and review a summary of batch options before proceeding with the Capture/Import of documents.
  Select Batch – Opens the Select Batch dialog box which will list only those batches that are in the Capture/Import workflow step. By highlighting a batch and clicking Select the selected batch will open.
 

Brings up the Close Batch dialog box. Prompts the user to select one of three options described below:

  • Close Batch - Closes the current batch. The user stays in the current Module, and the Select Batch dialog box comes up.
  • Close Batch and Continue in next Workflow step - Closes the current batch and the current module. The batch is immediately reopened in the next module of the workflow. 
  • Suspend Batch in [Current Workflow Step] - Suspends the batch in the current workflow step for processing at a later time.

NOTE: The behavior of the Close Batch dialog box is affected by the settings defined in the "Default action for the "Close Batch" Dialog" section of the capture profile workflow configuration. For more information, see: Capture Profile: Workflow.

  Select Capture Profile - Brings up the Capture Profile window in order to choose a profile.
  Import Batch – This icon is only available for selection if there is an Import Batch step within the capture workflow. It provides the ability to perform batch import.
  View Batch Information - Brings up the Batch Information window.
  Start Capture – initiates capture process.
  Stop Capture – Stops the current capture process.
  Select Capture Device – Allows the selection of the device used to capture images.
  Configure Device Profiles – Allows for the creation of device profiles for capture device settings. For scanners, driver settings can be configured and named for quick recall during capture operations. For the Import Device, folder paths can be specified for quick access to image directories.
  Toggle Index Data Editing – Enables and disables the editing of index data in the Indexing Pane.

3.png   Enable Zoom to Zone - Enables automatic zooming to detected zones.

 


 

File Menu

Contains numerous commands specific to the Capture module and the current Batch.

Start Single Page Capture

Capture one page from the currently selected capture device.

Import/Export Device Profiles

Enables the user to export a device profile from a workstation and import that profile on an alternate workstation. Because device profiles are stored locally on each workstation this is often helpful when having multiple capture stations using the same type of capture device.

Device Driver Information

Provides information on the device driver information for the selected capture device.

Open New Viewer

Opens a new viewer in the Image Viewer Pane. Multiple viewers may be opened simultaneously. Various viewers may display different pages, as well as be adjusted using the viewer tools (i.e. zoom, rotate, magnify). See Viewing Ribbon Menu for more details.

Toggle Capture Progress Viewer

Opens a Progress Viewer to display the current progress of the captured pages.

Toggle Thumbnail Viewer

Opens a Thumbnail Viewer displaying thumbnails of the capture pages.

Initial Values Entry

Allows the user to enter data into index fields that are defined as either Sticky or Auto Incrementing. The data entered here will be carried over for all corresponding Sticky fields, and as a starting point for all Auto Incrementing fields.

Capture Setup

Brings up the Capture Settings dialog box. NOTE: All settings should be defined previously by the system administrator. However, some scan operators may wish to make adjustments to individual batch settings to suit their needs.

Image Processing Options

Brings up the Image Processing window where a user can add image processing for the documents in the current batch.

 

 

Recognition Options

Brings up the Recognition Settings dialog box, where barcode, patch code, and blank page detection method can be configured and previewed. 

Exit

Exits out from PSIcapture. NOTE: If a batch is currently open, the user will be prompted to close or suspend the batch. The PSIcapture application will then close.


 

Capture Panes & Toolbars

Batch Viewer Pane

Displays the current progress of the batch being captured/imported. The current workflow type and Capture Profile is shown at the top of the pane, as well as a collection of various toolbars.

Folder Editing

 

6.png   Combine with Previous Folder – Combines the current folder with the folder that comes before it. This function will append all of the documents in the selected folder to the previous folder.
7.png   Rename Folder – Allows the currently selected folder to be renamed.
8.png   Delete Folder – Deletes the selected folder and all its contents from the batch.
9.png   Reject Folder – Rejects the folder and sends it to the Exceptions Batch linked to the current batch. If the current batch does not have an associated exceptions batch yet, it will be created.

Document Editing

 

11.png   Create New Folder – Creates a new folder containing this document and all the documents that follow it in its original folder.

Page Editing Toolbar

 

18.png   Split Document – Splits one document into two documents with the selected page being the first page in the new document. The selected page and all the pages that follow it in its original document will be added to a new document that will be created immediately after the original document.
19.png   Save Page – Allows the user to save a page from the batch to disk.
20.png   Print Page – Allows the user to print the current page.
21.png   Insert Page Before – Inserts a new page into a document before the currently selected page.
22.png   Insert Page After – Inserts a new page into a document after the currently selected page.
23.png   Replace Page – Replaces the selected page with a new page.
24.png   Crop Page – Allows an area of the current page to be cropped out. The cropped portion can replace the current page’s image, be inserted as a new page in the current document or inserted as a new document.
25.png   Redaction – Allows a selected area of the current page to be blacked out.
26.png   Delete Page – Deletes the currently selected page from the batch.

Capture Image Pane (Viewer window)

Displays the current image being captured or the image for the currently selected page when done capturing. The Viewer toolbar located at the top of the window has the same tools as the Viewer Ribbon.

Index Field Pane

The Index Field Pane in the Capture Module is used to enter index data for the folders and documents in the current batch. It consists of a list of the Index Data Fields defined for the current Capture Profile and textboxes for entering values for those index data fields. The values in the fields pertain to the currently selected document/folder in the batch.

To navigate between Index Fields, users can use the Tab key. To perform the function assigned to that index field, such as a lookup, the Enter key be used. When on the last index field of a document, pressing tab or enter will automatically move the cursor to the first index field on the next document. Users can also jump to any document in the batch by selecting it on the batch tree.

Upper File Browser Pane (Import Only)

Only available when performing import capture. Like a standard Windows Explorer, this window allows users to browse all local and network folders. The user can also specify via a drop down menu how PSIcapture imports the contents of a folder.

Selection by Files

The user must select the files within the selected folder that they would like to import. 

Selection by Directory

PSIcapture will automatically import all supported files contained within a selected folder. Contents of any subfolders will also be imported if the Include Subfolders box is checked (default). Only the files with the extension specified in the filter at the bottom of the File Browser will be imported. So, for example, if the directory contains PDFs and TIFFs and the filter specifies TIFF Images, only the TIFFs will be imported.

Include Subfolders

Check Include subfolders when using Selection by Directory. All folders below the selected folder will be scanned for images to import.

Refresh

31.png Refreshes the contents of the File Browser.


 

Lower File Browser Pane (Import)

Displays the contents of the current folder.

The contents of the highlighted folder can be filtered using the File Filter selection list at the bottom of the pane. When selecting files to import, this pane will be used, and can use the same hotkeys as Windows Explorer to Select, Shift-Select, and Control-Select specific files.

Creating a Batch

Create Batch

Once you have selected files to import, this function Initiates the creation of a new batch to capture the content. The Create Batch dialog box will open allowing for Batch settings to be set on the new batch.

General

Create and name a new batch. Information on Batch Fields, Batch Totals, and Batch Summary are also displayed. NOTE: If the batch naming method has been set to automatic, the current date and time will be automatically populated in the Batch Name field. 

Two options are available for users to set batch as High Priority or Hold.

Batch Overrides

Allows users to override expected count validation and default separation profiles for the current batch.

Expected Count Validation

The three choices are No Validation, Validate Batch Totals, and Validate by Level.

Default Separation Profiles

Displays the default separation profiles for both document and folder separation. If multiple profiles have been defined, the user can select a different default separation profile at this time. This default profile will only be used for the new batch being created.

Batch Note

Allows the user to attach a note to the batch. The note will follow the batch throughout the entire workflow and can be viewed at any time.

Batch History

Shows the history of the batch. NOTE: At this stage, the history is always blank, as the batch has yet to be created.

Capture Profile Summary

A brief summary of the Capture Profile configuration settings presented in a tree structure.

Lookup Logs

A record of the lookups performed. NOTE: At this stage, the log is always blank, as the batch has yet to be created.

Modify Document Type Definition

Selecting this brings up the Capture Profile Configuration dialog box. All aspects of the Capture Profile configuration (with exception to the Capture Profile name) can be edited for the current batch. All other batches new or existing are unaffected. See Capture Profile Configuration for further detail.

Print Batch Summary

Allows a Batch Summary to be printed for the current batch. At this stage the batch summary will contain little useful information, as the capture process has not yet begun.

Select Batch

Opens the Select Batch dialog box which will list only those batches that are in the Capture/Import workflow step. By highlighting a batch and clicking Select the selected batch will open.

Local/Shared Tabs

A Capture Profile set as Local will show its batches on the Local tab if it was created on that computer. A Capture Profile set as part of a multi-station deployment would typically be configured as Shared, and therefore its batches would be found on the Shared tab.

Import Batch

Imports a batch from an external or third party source. NOTE: This button is available only if Batch Import is enabled as the first step of the workflow.

Close Batch

Brings up the “Close Batch” dialog box. Prompts the user to select one of three options.

  • Close Batch - Closes the current batch and the Capture module. The user stays in the Capture Module.

  • Close Batch and Continue in next Workflow step - Closes the current batch and sends the batch to the next workflow step. The batch is immediately reopened in the next module of the workflow. 

  • Suspend Batch in Capture - Suspends the batch in the Capture/Import workflow step for processing at a later time. The Capture/Import Module remains open.


 

Image Processing Options

The Image Processing Profiles dialog box has various profiles listed. A new profile can be added, or an existing profile edited.

NOTE: All settings should be defined previously by the system administrator. However, some scan operators may wish to make adjustments to the settings to suit the needs of a particular batch or page.
