PSIcapture User Guide: Batch Manager

Overview

 

The Batch Manager Module is the central reference point to view the status of previously or currently processed batches. Columns can be customized to suit the user's viewing needs.

Home Tab

 

This tab contains numerous commands, specific to the Batch Manager module:

 

  Close Selected Batches - Closes the highlighted batch(es).
  Delete Selected Batches - Deletes the highlighted batch(es), along with the associated image files from storage.
update.png   Update Batch Status Flags - Allows users to set or clear Status Flags of High Priority, Suspended, and Held on multiple batches at once from within Batch Manager.
  View Batch Information - Opens the Batch Information dialog box. The button for Modify Document Type Definition as well as the Batch Overrides tab will not be available.
  Close All Completed Batches - All completed batches can be closed at once and omitted from the Batch Manager list.
reopen.png   Reopen Selected Batches  -Reopens highlighted complete or closed batch(es) for review. Show Closed Batches must be enabled.
  Refresh Batch List - Refreshes batch list showing any changes or additions recently made.
  Show Closed Batches - Toggle to include/omit closed batches for viewing in the Batch Manager Pane.

Update Retention Settings

Batch retention settings of the selected batch can be changed. By selecting this command, the Update Batch Retention Settings dialog box opens up. Other batches of the same document type are unaffected.

 

 

Update Batch Path

The batch storage location for the image files can be changed to suit the user’s needs.

 

 

Import Batches

A user can import batches into Batch Manager from a local or network location. The Import Batches dialog box will open.

 


Select Batches to Import

Once a storage location/directory of the desired Capture Profile is entered, this box will be populated with all the batches for said Capture Profile. Simply click on the check boxes next to each batch that needs to be imported.

Import Batch Manager

Select to import the batch(s) to either the local or shared batch manager (Capture Server).

Import Settings

Select to keep the batch folder in the current location or move to a new location.

Export Selected Batches

The user can export highlighted batches out to a different location. The Export Batches dialog box will open.

 

 

Exit

Exits the PSIcapture application.

 

Batch Manager Panes

Local and Shared batches each have their own tab. At the bottom of the pane, the total folders/documents/pages of the highlighted batch are displayed, as well as the last updated time.

 

Exceptions Batches

 Rejected folders and documents are placed in an Exceptions Batch. These batches will not be included in auto indexing.

 

High Priority Batches

 A batch can be set to High Priority. This is useful to expedite the workflow of a certain batch. If a document type is setup to have automatic processing workflow steps, these batches will be processed first.

 

Suspended Batches

 A batch can be suspended in its current workflow for review or processing at a later time. A user can choose if these batches are included for automatic processing.

 

Held Batches

 A batch can be set aside for any number of reasons. The user has the option to attach a note for reference. These batches will not be included in any automatic processing workflow step.

 

ID

Each new batch created is assigned a unique batch ID number. This process is automatic, and the numbers will never repeat. A single left mouse click on the column heading will sort the list in ascending or descending order.

 

Batch Name

An unique name must be given to each batch when it’s created. The name assignment can be set as automatic, manual, or custom. See Batch Storage Options in Capture Profile - General for more details. A single left mouse click on the column heading will sort the list in ascending or descending order.

 

Capture Profile

Lists the Capture Profile of each batch. A single left mouse click on the column heading will sort the list in ascending or descending order.

 

Workflow Step

Displays the current workflow step the batch is in. A single left mouse click on the column heading will sort the list in ascending or descending order.

 

Workflow Progress

Shows the total number of steps defined for the Capture Profile(s), and the current step the batch is in.

 

Status

Indicates whether the batch is Local or Checked In/Checked Out (for Shared batches).

 

Created

A date and timestamp of when a batch was created. A single left mouse click on the column heading will sort the list in chronological order.

 

Created By

Indicates the user the batch was created by.

 

Owner

Displays the [Domain\Login:Computer] that currently has batch(s) checked out. It means that batch is currently being processed. A single left mouse click on the column heading will sort the list in ascending or descending order. A checked out batch will not be available to another user.

 

Closed

A checkmark indicates a batch that has been closed. NOTE: Show Closed Batches must be enabled to view this column.

 

Retention Status

Indicates the retention status of a closed batch (Keep/Archive/Delete Batch). NOTE: Show Closed Batches must be enabled to view this column. See Batch Retention Options in Capture Profile - General for further details.

 

Filter Tool

 Some columns can be filtered via a dropdown list. This is useful to narrow down a search, or if the user wishes to view only batches of a certain project, workflow step, etc.

 


 

Right-click Functions

 

 

Right mouse click on any batch will bring up the quick menu. It allows access to some of the most commonly used commands without using the ribbon menu.

 

Open Batch

For all incomplete and open batches, selecting open will automatically start the appropriate module depending on which workflow step the batch is in, and begin processing.

 

Open Batch In

This option allows the user to open a batch in any of the modules specific to the currently selected batch workflow.

 

View Batch Information

Opens the Batch Information dialog box. Opening this from within the Batch Manager module allows access to the Modify Document Type Definition button where it is disabled in other parts of the application.

 

Check In Batch

A batch that is checked out will show [Domain\Login:Computer] in the Owner column. If, for some reason, a batch remains checked out after a user has finished working on it, it can be manually checked in. NOTE: Use the same computer on which the batch was last checked out by to check it back in to avoid data loss.

 

Open Batch Folder

Opens the batch storage folder in Windows Explorer.

 

Export Batch

The user can export a single batch out to a different location. The Export Batches dialog box will open.

 

Delete Batch

Deletes a single batch along with the associated image files from storage.

 

Rename Batch

Rename a batch by entering a new name in the following window.

 

Verify Batch for Auto Processing...

When selecting an auto processed batch the user can choose to verify the batch to make sure there are no errors in auto processing.
